Your first week with LedgerSync: from new account to first clean sync
Follow the same path our most successful teams take: create your account, set up your workspace, connect QuickBooks and one sales channel, review mappings, run a sync preview, reconcile a payout, and only then invite the rest of the team.
Step 1 — Create your account and verify your email
Sign up at /register with your work email. You will be asked whether you are a business running your own books or an accounting firm managing clients — this choice shapes your workspace layout, and you can add client workspaces later either way. Verify your email from the confirmation message before continuing so exports, alerts, and reviewer invitations are not blocked.
- - Pick the workspace type that matches you today: single business or accounting firm.
- - Set your home currency and country now — GST-aware mapping for Indian commerce is enabled by your region choice.
- - Your workspace starts in sandbox mode: nothing posts to accounting without review and approval.
Step 2 — Connect your accounting destination first
From the dashboard, open Integrations and connect QuickBooks Online (or Xero) before anything else. LedgerSync pulls your chart of accounts, tax codes, and item lists during this step, and every later screen — mappings, previews, reconciliation — depends on them.
- - Evaluating the product? Connect the QuickBooks Online Sandbox or Xero Demo Company instead of your live file.
- - Confirm the connection badge shows Connected on the Integrations screen before moving on.
Step 3 — Connect one sales channel and import data
Connect a single channel first — Shopify, WooCommerce, Amazon Seller Central, Flipkart, or Stripe — and run your first import. Resist connecting everything at once: one channel end-to-end teaches you the whole workflow, and adding the rest later takes minutes.
- - Use the Import action on the connection card to pull recent orders, fees, refunds, and payouts.
- - No store handy? Load the sample dataset from the connection screen to explore with realistic data.
- - Watch the sync queue on the dashboard — imports normalize in the background and you are notified when records are ready.
Step 4 — Review mappings, then run a sync preview
Open Mappings to see how LedgerSync proposes to map channels, payment methods, fees, taxes, and SKUs to your chart of accounts. Accept or adjust the suggestions, then open Sync Preview to see exactly which journal entries would be created — nothing has posted yet.
- - Resolve any items flagged as unmapped or ambiguous before trusting the preview totals.
- - In the preview, spot-check one order from gross to net: discounts, shipping, taxes, fees, and payout clearing.
- - Approve the preview to post to your sandbox company and inspect the resulting entries in QuickBooks.
Step 5 — Reconcile your first payout or settlement
Open Reconciliation and pick a recent Stripe or Shopify payout, or an Amazon settlement. LedgerSync matches the deposit against orders, fees, refunds, and reserves, and shows any mismatch before anything reaches your books. When the difference reads zero, you have completed the core loop the product is built around.
- - For marketplaces, import the settlement report and review the fee and refund breakdown line by line.
- - Mismatches are listed with suggested causes — resolve them from the same screen.
Step 6 — Invite your team and prepare for go-live
Once you trust the preview-and-reconcile loop, invite teammates from Settings with reviewer or approver roles, set up sync schedules, and work through the production readiness checklist. Live posting to your real accounting file stays off until you explicitly enable it there.
- - Add remaining sales channels and repeat steps 3–5 for each.
- - Enable schedules so imports and previews run automatically.
- - Complete the go-live checklist under Production Readiness, then switch on live posting when every item is green.
